Add a participant

Five short steps: who they are, how to reach them, the people in their life, what to talk about, and their permission.

Adding someone takes about five minutes. It goes best with them sitting beside you: they can tell you the names that matter, the topics they would enjoy, and, most important, whether they are happy to be called and recorded.

You can stop at any point. What you have typed is kept in this browser for your account and family, and the setup picks up where you left off the next time you open it. A message tells you whose setup you are continuing.

Select a numbered step to go back and review or change it. A checkmark means that step is complete; going back keeps your progress. Required details must be filled in before you move forward. Use Start another participant to begin a different setup.

If an older browser draft is found, select Resume earlier setup in this family to choose which family it belongs to.

Before you start

Have these ready:

  • Their phone number, including the country code (in the US, that is +1 followed by the ten digits).
  • Their date of birth and where they were born. Rosie uses these to ask about the right years and places.
  • A few names they might mention: a spouse, children, grandchildren, old friends.
  • Two or three things you would love to hear about.

Tip: Want to hear what a call is like before anyone else gets one? Add yourself first, with Relationship set to self, and take the call yourself.

Start the setup

  1. At the bottom of the menu, under Family, select Participants & invites (or open More on a phone).

  2. Select Get started (or Add a participant at the top right if you have added someone before).

Step 1: Who they are

  1. Enter their First name. Add a Preferred name if they go by something else. Rosie will use it on every call.

  2. Last name is optional.

  3. Choose the Relationship: how they are related to you.

  4. Enter their Date of birth and Birthplace (a town and state is plenty).

  5. Select Continue.

Step 2: How to reach them

  1. Enter the Phone number. US numbers can include spaces or dashes, such as (423) 555-0147; we add +1 automatically. International numbers need their + country code.

  2. Email is optional. It is kept for a future invitation to their own space; saving it does not send anything.

  3. Check the Time zone. It starts as your computer's time zone; change it if they live somewhere else (for example America/Chicago).

  4. Under Best days, tick the days they are usually home and free.

  5. Set From and Until: the hours on those days when a call is welcome.

  6. Add Hearing notes if it helps, such as "Speak a little slowly" or "Use shorter sentences".

  7. Select Continue.

Step 3: Who's who

List the people they are likely to talk about, one per line, as a name and a relationship:

Walter, late husband
Sam, son
Emma, granddaughter

When a name comes up, Rosie will know who it is, and you will see those people in the stories later. Select Continue.

Step 4: What to ask about

Write a few starter topics, one per line: the old house, a first job, how they met. These are only starting points; the conversation can go wherever they want.

Review their name, phone number, time zone and calling availability, then select Save details. Each starter topic can have up to 500 characters. Their details are saved now, and one step is left.

Step 5: Their permission

You can still select an earlier numbered step to correct details. Save any changes on step 4 before confirming permission.

This step shows exactly what they will hear when the first call starts: Rosie's greeting and the recording notice.

  1. Read the greeting and notice aloud to them, or show them the screen.
  2. When they have agreed, tick the box that says you told them and they agreed.
  3. Select Confirm permission.

Only you can tick this box, and it does not replace their own say: the first call still starts with the full recording notice and waits for them to say yes out loud. If they say no, the call ends politely, calls are paused, and you get an email.

All set

You will see that they are ready for the first call. Select Go to Call now to open their Home page, where you can place the first call during their chosen calling hours. Select Set up regular calls to choose a recurring schedule. Setup alone does not schedule a call.

If you stopped before the last step

If you saved the details but did not confirm permission, their Home page shows Needs you with a Confirm permission link that takes you straight back to step 5. No call can start until you confirm.

Good to know

Can I change these details later? Before permission is confirmed, use the numbered steps to edit any setup detail, including phone number, time zone, and calling days and hours. After permission is confirmed, names, date of birth, birthplace, Hearing notes, the people they know and starter topics can be changed under Manage, on the Profile and People tabs. Phone number, time zone, and calling days and hours cannot be changed there yet. If one needs to change, email help@phiniti.ai.

Can I add more than one person? Yes. Repeat these steps from Participants & invites for each person.

Does step 2 set the call schedule? No. The days and hours you choose are when a call is welcome. You pick the usual weekly time on the Schedule tab under Manage once they are set up.
